Two months ago I decided to go all in in AI productivity tools. Not because I wanted to do no work, but because I saw that there is an edge in trying to use AI to your advantage.
In my quest to use the AI productivity tools, I wanted to figure out which were actually saving me time, and which ones were just adding more layers of work.
I tested 11 AI productivity tools across real workdays. I added them into my real client work, when doing real research, and see where they could take some of the burden away.
Eight AI productivity tools earned a permanent spot. Three got cut.

Why bother with an AI productivity tool stack at all?
A solid AI productivity tool stack saves a working professional roughly 8 to 12 hours a week on knowledge work that used to eat full afternoons. That includes writing, summarizing, research, planning, and meeting follow-ups.
The catch is that you have to actually use the tools. Most people sign up, ask three questions, and never open the app again. The tools that survive in my stack are the ones I open without thinking.
That last bit is the real test. If I close my laptop on a Friday afternoon and the tool is still pinned in my browser tabs, it earned its spot. If I have not touched it in a week, I do not care how powerful the demo was.
The eight tools below all passed that test for at least three months in a row.
What are the 8 AI productivity tools I use every day?
These are the ones that actually live in my daily workflow. I have used each one for at least three months across real, paid client work and personal projects.
1. Claude
Claude is my main thinking partner. I use it for the parts of work that require nuance: reviewing client strategy, drafting messaging, debating an outline before I write the first paragraph, or pressure-testing an idea I am not yet sure about.
What I noticed in the first month is that Claude pushes back. Ask it whether your campaign idea is good and it will tell you which parts are weak. That is the trait I needed most, because most other AI tools are too eager to agree with you.
I keep one Claude project open per client, plus one for my own writing here. Context carries between conversations inside a project, so by month two it knew my voice well enough that I stopped having to re-explain my brand on every prompt.
For deep strategy work, this is the tool I open first.
2. ChatGPT
ChatGPT is my second opinion. When Claude and I land on a draft, I drop it into ChatGPT 5.5 and ask it to challenge the framing or rewrite headlines in different ways.
I find ChatGPT 5.5 faster for raw output and a little more willing to take creative swings. It is the one I lean on for first-pass volume work: bulk variations, list expansions, brainstorm dumps where I want quantity and I will judge quality myself.
GPT-5.5 changed my workflow more than any other release. The reasoning models think before answering, which makes a real difference for strategic prompts where I want a plan, not a paragraph.
If you only use AI for one thing, having both Claude and ChatGPT open is the closest thing I have found to having two smart colleagues at the desk next to me.
3. Perplexity
Perplexity is where I start anything that needs credible sources. Instead of asking Google, opening eight tabs, and losing the thread, I ask Perplexity for the answer and it shows me the citations underneath every claim.
I use it most for research that will end up in a blog post or a client recommendation. If I am going to make a claim publicly, I want to know exactly which study, which article, which paragraph it came from. Perplexity makes that two clicks instead of twenty.
It saves me about an hour every time I write something fact-heavy. That alone justified the subscription, and I now use it before Google for almost any research question.
4. NotebookLM
NotebookLM is my “turn a giant document into a conversation” tool. I drop in a 60-page PDF, a long client brief, or a stack of research, and then I can ask it questions like a colleague who actually read the material.
The audio overview feature surprised me. It generates a podcast-style discussion of the source material in about a minute. And honestly, despite clearly being AI, it works as a learning tool. I listen to those on walks when I want to absorb a long report without sitting in front of a screen.

5. Granola
Granola is the meeting notes tool I gave up trying to replace. It listens in the background during my Zoom and Google Meet calls, and at the end it produces clean, structured notes in the format I picked.
What makes it stick is that it does not transcribe everything verbatim. It writes the kind of notes a thoughtful chief of staff would write: decisions, action items, open questions. Things I would have written if I were better at taking notes during a fast-moving call.
Before Granola I either took my own notes badly or relied on transcripts I never read again. Now my client calls have a paper trail I can search by keyword three months later, and I can copy a clean action-items block straight into a follow-up email.
6. Gamma
Gamma is how I make slides without dreading slides. I type a prompt or paste in an outline, and 30 seconds later I have a deck I can edit instead of build from scratch.
I use it for monthly client reports, internal strategy docs, and the occasional pitch. The output is roughly 70 percent done, which is exactly the percentage I want, because the last 30 percent is where my brand voice and judgment live.
For people who hate PowerPoint the way I do, Gamma is the only deck tool I have stayed loyal to. It also exports cleanly to PDF and PowerPoint, which matters when a client wants the file in a specific format.
7. ElevenLabs
ElevenLabs is the AI voice tool I use for video voiceovers and audio drafts. I record a quick draft in my own voice, or I have ElevenLabs read a script back to me at production quality.
The honest reason I love it: hearing a script read out loud reveals every clunky sentence. I catch more rewriting issues from one ElevenLabs playback than from three rounds of reading on screen.
For solopreneurs who do not want to set up a home studio, this is the closest thing to having a voice actor on retainer for a fraction of the cost.
8. Cursor
Cursor is an AI-first code editor. I am not a software engineer (far from it), but I run a marketing business and need to use code more than I expected to. Custom WordPress tweaks, automation scripts, scrappy data analysis on client reports.
With Cursor and Claude or GPT inside it, I can describe what I want in plain language and it writes the code, then explains it to me. I am genuinely faster at small technical projects than I was when I had to manually search Stack Overflow for half an hour.
If you are a solopreneur, Cursor unlocks a whole tier of work you previously had to outsource. That is a category of leverage I did not know was available until I tried it.
What 3 AI productivity tools didn’t work for me?
Three tools came off the list during my testing. Microsoft Copilot, Jasper, and Notion AI. All three had real moments of usefulness, but none earned the daily-use slot in my stack. Here is why each one came off the list.
1. Microsoft Copilot
Copilot felt like a worse version of the AI I already had access to, wrapped in Microsoft chrome. The summarize-this-document feature inside Word was fine. The standalone chat felt slower and more cautious than ChatGPT or Claude, and the answers were noticeably more generic.
For people who live entirely inside Microsoft 365, I can see the case. For me it kept duplicating what better tools already did, and the integration tax was not worth the duplication.
2. Jasper
Jasper was an early AI marketing writing tool I tried back when ChatGPT had just hit the mainstream. The templates were cute, the output felt generic, and the pricing was expensive for what it delivered.
It is the tool that first taught me to be skeptical of marketing-positioned AI wrappers. If a product is mostly a UI on top of an AI model anyone can access directly, you are paying for a workflow you might be able to build yourself in 10 minutes with a prompt library. 3. Notion AI
I love Notion as a workspace. Notion AI never quite worked for me as a thinking tool. It writes inside your docs, which sounds great, but I want my docs to be the artifact, not the conversation.
I kept finding myself copying drafts out of Notion AI and into Claude or ChatGPT for the actual back-and-forth, which defeated the integration. Yours might be different if you live in Notion all day, but in my workflow it added a step instead of removing one.
How do I decide if an AI tool is worth keeping?
Three criteria, in order. Each one filters out tools that look promising in a demo but fail the real test.
First, does it save me at least 30 minutes a week without me forcing it? If I am not naturally pulling it open, it goes.
Second, does it produce output I can ship without heavy rewriting? Tools that hit 70 percent quality I can edit in 10 minutes are keepers. Tools that produce 40 percent quality I have to rebuild are a tax disguised as a feature.
Third, does it stack with the others? My eight tools all play nicely together. Notes from Granola feed into Claude prompts. Research from Perplexity ends up in NotebookLM. The stack is more than the sum of its parts when the tools share a workflow.
If a new tool fails any of those three, it does not survive my next quarterly review.
What should you try if you’re starting from zero?
If I had to start from scratch tomorrow with no subscriptions, here is the order I would build the stack, one tool a month.
Month one: Claude or ChatGPT. Pick one. Use it daily for a month before adding anything else. Most of the productivity gain in this list comes from getting fluent with one general-purpose AI tool before layering in specialists.

Month two: Perplexity. The moment you start using AI for research, you need source attribution. Perplexity solves that without changing how you work.
Month three: Granola. If you do meetings, this is the highest-ROI second specialist tool you can add. The hours back per week will surprise you.
After that, the order depends on your work. I added Gamma next because I make decks. A founder who writes more than they present might add NotebookLM. A creator might add ElevenLabs.
The mistake is trying to add five tools at once. The wins compound when you actually master each one before piling another on top.
What’s missing from my AI stack?
A few things, and they are the obvious gaps.
I have not yet found an AI scheduling tool I trust enough to give calendar control to. I have tried a few and they always create more friction than they remove.
I also do not use an AI inbox tool yet. I tested two and went back to Gmail with my own filters. Email is too high-stakes for me to outsource to an AI that might miss a client message buried in a thread.
These are the gaps where I expect the next 12 months of AI tooling to actually move the needle. If a tool earns those slots in my stack later this year, you will read about it here first.

The Bigger Pattern Emerging in AI Productivity
The eight AI productivity tools that survived all have the same DNA: they do one thing brilliantly and they do not try to be everything.
Claude is my thinking partner. ChatGPT is my second opinion. Perplexity is my fact-checker. Granola is my notetaker. Each one is a sharp instrument rather than a Swiss Army knife.
AI productivity tools that try to be all-in-one solutions and ended up doing nothing especially well. That has been the most reliable signal in my testing. The “platform” pitch is usually a worse version of three specialized tools you already have access to.

The right AI productivity tools should disappear into your workflow. You should stop noticing them and start noticing the time you have back.
That is the whole goal.
